The Recruiting Coordinator at Confidential Client is responsible for managing complex interview schedules, facilitating candidate communications, and supporting onboarding processes to ensure a seamless hiring experience. This role partners closely with recruiters, hiring managers, and candidates, maintaining recruiting documentation and compliance while operating in a fast-paced, hybrid work environment.

Role overview
Confidential Client is seeking a highly organized, detail-oriented Recruiting Coordinator to join the People team supporting the Seattle, WA office. This hybrid role focuses on interview scheduling, candidate communications, pre-hire administration, and onboarding support. You will partner closely with recruiters, hiring managers, interview panel members, and external candidates to deliver a smooth, professional candidate experience.
What You’ll Do
- Coordinate complex, multi-stage interview schedules between candidates, recruiters, hiring managers, and interview panels.
- Facilitate in-person interviews and candidate presentations when required.
- Act as a primary point of contact for candidates and hiring teams for scheduling, updates, and cancellations.
- Prepare, distribute, track, and upload candidate confidentiality agreements and other recruiting documentation.
- Conduct professional reference checks for hires and ensure appropriate documentation is retained.
- Support pre-hire administrative activities to ensure candidate information and required documentation are complete prior to onboarding.
- Maintain accurate candidate records and recruiting activity within the ATS (Greenhouse) and other People systems.
- Assist recruiters and hiring managers with administrative and operational needs across the recruiting lifecycle.
- Conduct initial or structured interviews for select entry-level or high-volume roles when needed.
- Help maintain recruiting templates, interview materials, candidate communications, and process documentation.
- Monitor recruiting pipelines for outstanding actions and proactively follow up with candidates and internal stakeholders.
- Support reporting, data tracking, and ad-hoc Talent projects.
- Maintain confidentiality and professionalism when handling candidate and employee information.
- Perform other duties as assigned.
Required qualifications
- Minimum 2 years’ experience in talent operations and/or recruiting.
- Bachelor’s degree or equivalent work experience.
- Hands-on experience with an ATS (experience with Greenhouse is required/preferred).
- Strong organizational skills and demonstrated ability to manage complex calendars and scheduling.
- Experience supporting multiple recruiters and hiring managers for high-volume scheduling.
- Understanding of recruiting compliance and reporting best practices.
- Excellent written and verbal communication skills and strong multi-tasking capability.
- Comfortable working in a fast-paced, dynamic environment.
- Experience managing calendars in Outlook.
Preferred qualifications
- Experience with full-cycle recruiting.
- Experience in the space/satellite industry or other technical environment (helpful but not required).
Compensation & benefits
- The anticipated hourly range for candidates based in Washington State is $35 - $45 per hour. Final pay will depend on background and experience. Confidential Client is a multi-state employer; pay ranges may vary for other locations.

Location & work model
- This is a hybrid position supporting the Seattle, WA office. In-person presence will be required for on-site interviews and certain People team responsibilities; some remote work is also supported.
- Candidates must be able to commute to the Seattle office as required.
