Position Overview

This is an entry-level/full-time, onsite R&D Project Management Coordinator role based in Winchester, KY (Winchester, KY). The Coordinator will support project execution across functional areas such as supply chain, finance, quality systems, and business development — ensuring accurate project documentation, coordination of samples and analytical activities, and tracking of invoicing and quotes for the confidential client.


The Role

  • Work with Safety, Warehouse, and Project Managers to coordinate sample shipments and logistics.
  • Collaborate with Project Managers to assemble and track invoices, billing, and quote amendments.
  • Review forecasting and scheduling against quotes to support project delivery.
  • Assist with project closeouts and review of key documentation.
  • Observe production with clients and report lessons learned to project teams.
  • Support planning and coordination of R&D analytical activities.
  • Prepare quotes and amendments as requested.
  • Perform other duties to support project execution and client satisfaction.

Minimum Qualifications

  • High school diploma with 5+ years of project coordination experience, OR Associate degree with 3+ years of project coordination experience, OR Bachelor’s degree in a relevant field.
  • Working knowledge of ERP systems.
  • Proficient with Microsoft Office: Outlook, Word, Excel, Microsoft Project, PowerPoint.
  • Experience with Trackwise or similar Quality Management Systems.
  • Excellent problem-solving and analytical skills.
  • Strong time management, planning, and multitasking abilities.
  • Self-driven, highly organized, and able to prioritize workload in a fast-paced environment.
  • Strong verbal and interpersonal communication skills for effective cross-department collaboration.
  • Ability to work effectively under pressure to meet deadlines.
  • Specific vision requirements include reading written documents and frequent use of a computer monitor; individual may be required to sit for extended periods.

Preferred Skills & Background

  • Experience in pharmaceutical contract manufacturing.
  • Knowledge of Good Manufacturing Practice (GMP) processes and compliance.
  • Experience in supply chain, project coordination, or customer-facing roles within the pharmaceutical industry.
  • Experience with JDE systems.
  • Technical writing skills for reports, presentations, and meeting documentation.

Schedule & Location

  • Shift: Monday – Friday, 8:00 AM – 5:00 PM
  • Location: Winchester, KY — 100% onsite
  • Employment Type: Full-time
