Role Overview

This Quality & Compliance Coordinator role supports Confidential Client’s headquarters in Gallatin, TN. This entry-level position manages customer compliance and quality documentation — especially for food-contact products — ensuring customer portal profiles, audit readiness, and traceability are accurate and up to date. You will work cross-functionally with Operations, Sales, Technical Service, Purchasing, and EH&S to retain existing business and support growth.


What You'll Do

  • Receive, review, log, and respond to customer requests for compliance declarations and documents (customer portals, direct requests).
  • Maintain and update customer compliance portal profiles; upload documents and track expirations to prevent lapses.
  • Coordinate document requests with suppliers, internal teams, and insurers; run supplier outreach campaigns when needed.
  • Review supplier documentation for completeness and regulatory fit; communicate deficiencies to suppliers and customers.
  • Complete customer questionnaires and surveys accurately and by customer deadlines.
  • Build and maintain a centralized compliance library (food-contact letters, SDS, COAs, specifications, Certificates of Origin/Insurance) with a renewal calendar.
  • Maintain supplier compliance contact database and support supplier qualification/resourcing activities.
  • Support EH&S and Technical Service on required training for service technicians.
  • Prepare for and support customer, third-party, regulatory, and internal branch audits; assemble records and track corrective actions until closure.
  • Support lot traceability lookups and mock recall exercises in NetSuite (or comparable ERP).
  • Record compliance and quality activities in the ERP to ensure traceability.
  • Perform other quality and compliance tasks as needed to support Corporate Operations.

What We're Looking For

  • Education: High school diploma or equivalent required. Bachelor’s degree in Business, Science, Supply Chain, Food Science, EH&S, Criminal Justice, or related field preferred. Associate degree in Paralegal Studies acceptable.
  • Experience: 0–2 years administrative, customer service, quality, or compliance experience preferred (manufacturing, food, packaging, or distribution a plus).
  • Familiarity with quality/regulatory documentation, audits, GMP, or NetSuite (or comparable ERP) is a plus.
  • Strong attention to detail and ability to meet customer-imposed deadlines.

Skills & Competencies

  • High ethical standards and sound judgment; knows when to escalate.
  • Strong written and verbal communication with customers, suppliers, and internal teams.
  • Above-average analytical skills and investigative/research aptitude.
  • Excellent organization; maintains audit-ready records.
  • Proficient with MS Office (Excel, Outlook) and comfortable learning new systems.
  • Ability to work independently and adapt to changing regulatory and business requirements.
  • Willingness to learn and take on new challenges.

Work Environment & Compensation

  • Location: Gallatin, TN (on-site with some warehouse exposure).
  • Work settings: office environment and non-climate-controlled warehouse areas (PPE required in warehouse).
  • Travel: Some domestic travel (~10%) to branch locations.
  • Employment type: Full-time.
  • Compensation: $50,000–$55,000 per year (range provided by Confidential Client).
