Primary Responsibilities
Confidential Client is seeking a Proposal Coordinator to support proposal development and project pursuits for multidisciplinary engineering and environmental projects in Tempe, AZ. You will work with project managers, engineers, geologists, and technical staff to assemble competitive, client-ready proposals that help win work across geotechnical, construction materials testing, survey, civil engineering, and environmental service lines.
- Coordinate preparation and submission of proposals for geotechnical, construction materials testing, survey, civil engineering, environmental, and multidisciplinary projects.
- Monitor estimating inboxes, bid forums, and client procurement portals for new opportunities, deadlines, and addenda.
- Collect scopes, pricing data, schedules, staff availability, resumes, certifications, and other supporting materials from technical teams.
- Edit, organize, and assemble professional proposal documents that reflect Confidential Client’s quality and brand.
- Maintain opportunity trackers, proposal schedules, internal deadlines, and estimating communications.
- Support pursuits from initial opportunity through proposal submission, client follow-up, contract execution, and project handoff.
- Communicate with clients regarding proposals, clarifications, approvals, and next steps.
- Organize and maintain proposal templates, project descriptions, past project examples, and marketing materials.
- Support Marketing and Business Development with pursuit tracking and process improvements.
- Build relationships across disciplines while learning how consulting projects are developed and awarded.

Qualifications
- Associate’s or Bachelor’s degree in Marketing, Communications, English, Business Administration, Construction Management, or a related field preferred.
- 2+ years of experience coordinating proposals, marketing, or administrative support in engineering, architecture, construction, or professional services preferred.
- Experience responding to public agency RFQs/RFPs highly desirable.
- Strong written and verbal communication skills; attention to detail in document assembly and editing.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and comfortable learning CRM/estimating tools.
- Valid driver’s license with an acceptable driving record.
- Positive attitude, ability to prioritize multiple deadlines, and good teamwork skills.
