What You’ll Do

Confidential Client is hiring a Project Coordinator to provide project administration, scheduling, documentation, and entry-level project management support across IT service delivery engagements. This role helps keep projects on track by managing artifacts, coordinating meetings and resources, tracking tasks and dependencies, and supporting clear communication with internal teams and clients.

Primary responsibilities include:

  • Maintain project documentation and artifacts in the agreed system of record (SharePoint per governance standards).
  • Coordinate project schedules, meetings, and resource availability.
  • Track tasks, milestones, dependencies, and action items; follow up with assigned owners.
  • Prepare and distribute project status reports, meeting notes, and action summaries.
  • Assist with onboarding, project kickoffs, and project close-out activities.
  • Support readiness checks (e.g., ConnectWise opportunity, customer-signed quote, approved SOW) before project initiation and escalate missing items.
  • Track time entry, expenses, and billing readiness as directed.
  • Support change request documentation and routing for written customer approvals per standards.
  • Manage Minor Projects as assigned under Regional Project Manager oversight, including basic timeline coordination, status updates, scope adherence, and escalation of risks or issues.
  • Identify process gaps and suggest improvements to templates, workflows, and governance practices.

Compensation (as listed)

  • Estimated: $138,371 per year (estimated)

Qualifications

  • Associate’s or Bachelor’s degree in Business, Project Management, Information Technology, or a related field — or equivalent experience.
  • 1–3 years of experience in project coordination, project administration, or operational support.
  • Strong organizational, prioritization, and time-management skills; high attention to detail.
  • Familiarity with Microsoft 365 tools (Planner, Teams, Excel, SharePoint).
  • Familiarity with ConnectWise PSA or equivalent PSA platform is a plus.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.

Preferred

  • Experience in an MSP or IT services environment.
  • Certified Associate in Project Management (CAPM)® preferred.
  • Exposure to formal project management methodologies (Agile, ITIL).
  • Interest in pursuing a long-term project management career path.

Role Intent & Career Progression

This Project Coordinator position is positioned as an entry-level role within a regional, multi-tier delivery model. Project Coordinators support Minor Projects and project administration with oversight from Regional Project Managers and can progress to Regional Project Manager over time by demonstrating:

  • Consistent independent delivery of Minor Projects with minimal escalation.
  • Mastery of project artifacts, documentation standards, and PSA workflows.
  • Professional client and internal communications.
  • Progress toward project management certification (CAPM®/PMP®).
  • Positive feedback on accountability and initiative.
