Role Overview

Confidential Client is seeking a Project Coordinator to support program directors and cross-functional teams. This role provides administrative, operational, and program support to ensure teams, events, communications, and systems run smoothly. The ideal candidate is organized, customer-focused, and comfortable working across departments to support event planning, data entry and analysis, procurement, and basic accounting tasks.


What You’ll Do

  • Provide general administrative support: answer incoming calls, coordinate mailings, manage supplies, and provide backup coverage for administrative assistants.
  • Maintain membership and survey data: enter, organize, and report membership and policy-survey information.
  • Support communications: help manage inventory, assist with procurement, proofread and format materials.
  • Assist event and trade logistics: support planning and on-site coordination for events such as Cornbelters, Farm Progress Show, and the NCGA President’s Reception.
  • Support program leads: help the Director of Exports and Logistics, Director of Conservation and Stewardship, and Director of Operations with program-specific administration (including AV setup and fleet reservations).
  • Assist accounting during busy periods: process refund requests, follow up on accounts receivable, and help maintain relevant databases.
  • Contribute to special projects and cross-functional initiatives as needed.

Qualifications

  • Associate or Bachelor’s degree in business, communications, agriculture, or a related field.
  • 1+ year administrative, office, or customer-service experience; internships or college experience may qualify.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and accurate data entry skills.
  • Strong organizational skills and high attention to detail.
  • Effective written and verbal communication; professional phone and email manner.
  • Ability to work collaboratively with multiple departments and learn new software and processes quickly.

Preferred

  • Knowledge of the Illinois agriculture industry or related policy environment.
  • Event coordination or procurement experience.
  • Experience with basic accounting workflows (refunds, AR follow-ups).

Compensation & Employment Type

  • Employment type: Full-time and/or contract opportunities may be considered.
  • Estimated salary (from source): $55,391 per year (estimated). Compensation will be confirmed by Confidential Client.

Location & Travel

  • Location: Bloomington, IL (on-site).
  • This position is primarily office-based and requires occasional domestic travel.
