Position summary
Confidential Client is seeking an entry-level Project Coordinator to support engineering and design projects on-site in Albany, NY. This role provides administrative and project support to Project Managers and project teams, focusing on document control, meeting coordination, and project communication. It’s a hands-on development opportunity well-suited to early-career engineering or technical professionals interested in transitioning toward project management.
Key responsibilities
- Organize and schedule project meetings; prepare and distribute meeting minutes.
- Coordinate design-team activities, quality reviews, and document management.
- Develop and maintain project paperwork, schedules, reports, and communication logs.
- Assist Project Managers with project organization, workflow tracking, and basic task management.
- Coordinate document control to ensure proper distribution, review, and storage of design documents, submittals, and meeting records.
- Facilitate clear communication between project participants and document key interactions.
- Support compliance with project and corporate documentation standards.
- Assist with draft scopes of work for design subcontractors.
- Perform other duties as assigned to support project delivery.
Who we’re looking for (minimum qualifications)
- Entry-level experience in project support or related administrative roles.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with project platforms preferred (Procore, Bluebeam, Oracle).
- Basic understanding of project execution principles, design workflows, and engineering/architectural terminology.
- Reliable transportation and the ability to commute and travel (5–20% travel typical).
- Willingness to complete video interviews as part of the hiring process.
Preferred qualifications
- Prior exposure to project coordination, technical design support, or construction-related environments.
- Bachelor’s degree in engineering, architecture, construction management, business, or a related field — or equivalent experience.
Physical demands & work environment
- Ability to stand, sit, and walk for prolonged periods; stoop, kneel, crouch, and crawl as required.
- Ability to lift/move up to 25 pounds and climb ladders when necessary.
- Work may occur in indoor and outdoor environments and may include cleanroom gowning protocols.
- This is a safety-sensitive role that includes visits to client sites (construction, manufacturing, packaging, research, or process areas). You must follow site safety rules.
Travel & assignment details
- Typical travel: 5–20% (may vary by assignment).
- Candidates may be assigned to client sites for extended periods and may require overnight stays depending on project needs.
- Access to reliable transportation is required.
