Job Summary
The Program Specialist I, under general supervision, performs entry-level specialist duties supporting departmental programs and services in a higher-education arts environment in Laredo, TX. This role supports program planning, event coordination, communications, basic budget documentation, and day-to-day administrative tasks.
Essential Duties and Responsibilities
- Assists in planning, developing, implementing, coordinating, and monitoring programs and services.
- Plans and develops specialized programs such as conferences, seminars, lectures, meetings, and workshops to meet program goals.
- Coordinates program communications and marketing materials.
- Assists in the development of departmental policies and procedures.
- Assists in preparation and maintenance of budgets, special reports, and other documents.
- Attends meetings and conferences to discuss program progress and outcomes.
Additional Duties and Responsibilities
- Coordinate departmental events and activities including concerts, recitals, auditions, exhibitions, lectures, and special programs.
- Assist with facility scheduling and manage schedule changes related to departmental programming.
- Coordinate guest artist logistics; work with university offices on contracts, agreements, and supporting documentation.
- Support scheduling, approvals, purchasing, event logistics, and other administrative processes with minimal supervision.
- Collaborate with the university public relations office to support event announcements, programs, posters, website updates, and social media content.
- Serve as a point of contact for faculty, students, staff, and external partners regarding departmental events.
- Maintain records and manage multiple projects, deadlines, and approvals to ensure timely completion.
- Attend meetings and conferences related to departmental initiatives.
Minimum Requirements
- Education – Bachelor’s degree in a related field such as Arts Administration, Communications, Marketing, Business, or a closely related discipline.
- Experience – No prior experience required.
Preferred Education and Experience
- One year of administrative, event coordination, customer service, office support, or related experience.
- Experience supporting academic programs, events, or arts-related operations in higher education or an arts organization.
Knowledge and Abilities
- Knowledge of word processing and spreadsheet applications.
- Ability to multitask and work cooperatively with others.
- Excellent verbal and written communication skills.
- Strong interpersonal, organizational, and customer service skills.
- Attention to detail and sound judgment.
Preferred Knowledge and Abilities
- Knowledge of event coordination, scheduling processes, contract administration, and marketing/promotional workflows.
- Ability to coordinate multiple activities, deadlines, and administrative processes simultaneously.
- Effective communication with faculty, students, staff, and external partners.
- Ability to adapt to frequent schedule changes while maintaining follow-through.
- Ability to support event promotion via social media and other communication channels.

Compensation
