Program Coordinator, 4-H Events

Position overview
Confidential Client seeks a Program Coordinator, 4-H Events to support statewide 4-H event logistics, registration, contracts, finances, promotion, and basic program delivery. This role is hands-on with event coordination for youth programs, supports grant activities and evaluation, and works with volunteers, AmeriCorps, and student workers. This position is based in Rincon, AZ and will require nights and weekends during events.
What you’ll do
- Coordinate logistics for statewide 4-H events (e.g., Arizona 4-H Summit, Clover Ball, J.O.L.T., Engaged Citizens, Emerging Leaders, Arizona 4-H Stock Show & Expo).
- Manage event registration systems, vendor/venue contracts, and event budgets.
- Support marketing, outreach, and recruitment—draft announcements, social posts, and promotional materials.
- Administer inbound international exchange logistics and support the Arizona 4-H State Ambassador program.
- Assist with grant support and basic grant implementation tasks.
- Collect, enter, clean, and summarize program data; produce standard reports and simple visual summaries.
- Recruit, orient, and provide basic direction to volunteers, interns, AmeriCorps members, and student workers.
- Maintain organized documentation for events and programs; ensure compliance with agreed processes.
- Work evenings and weekends as required during events.
Minimum qualifications
- Bachelor’s degree or equivalent advanced learning attained through experience.
- At least 1 year of relevant work experience (event coordination, youth programming, or related).
Preferred qualifications
- Experience managing budgets, grants, or contracts.
- Teaching, volunteer management, or youth development experience.
- Experience coordinating international exchange programs.
- Experience with social media and web strategies for event promotion and engagement.
- Experience working in distributed/remote teams.
- Ability to read, write, or speak Spanish or Native American languages spoken by Arizona tribal communities.
Skills & abilities
- Strong organizational skills and attention to detail for event logistics and financial tracking.
- Comfortable with routine data collection and basic analysis (spreadsheets/databases).
- Clear written and verbal communication skills for interacting with youth, volunteers, community partners, and senior staff.
- Customer-service orientation and ability to manage multiple tasks under supervision.
- Competence with standard office software (Word, Excel, presentation tools) and willingness to learn program-specific systems.
- High competency in people-related skills: conflict management, communications, human relations, and leadership development.
- Sensitivity and adaptability working with diverse communities and youth audiences.
Work schedule, type & compensation
- Employment type: Full Time
- FLSA: Non-Exempt
- Hours: 40 hours/week; must be available nights and weekends during events
- Compensation: $20.33 - $25.41 per hour (hourly rate)
- Job FTE: 1.0; Fiscal work calendar
Location & travel
- Location: Rincon, AZ (onsite required for event execution; some travel across the state may be required).
- This role will support statewide events and may require occasional travel and irregular hours.
