Payroll Specialist
The Payroll Specialist is responsible for processing accurate payroll for hourly and salaried employees across multiple locations, ensuring compliance with deadlines and payroll regulations. This role involves maintaining payroll records, resolving discrepancies, supporting payroll tax activities, and collaborating with HR and accounting teams. Responsibilities
- Process recurring payroll for hourly and salaried employees, ensuring accuracy and adherence to established deadlines.
- Review employee time and payroll information prior to processing; identify and follow up on discrepancies.
- Maintain employee payroll records, including pay changes, deductions, taxes, and other payroll-related information.
- Assist with payroll for employees across multiple locations and states.
- Review timekeeping information and collaborate with employees and managers to resolve missing or inaccurate records.
- Process payroll adjustments, off-cycle checks, and other employee changes as required.
- Respond professionally to employee inquiries about pay, deductions, timekeeping, and related payroll matters.
- Maintain accurate payroll documentation and records in HRIS/payroll systems.
- Assist with payroll reconciliations and review payroll reports for completeness and accuracy.
- Support payroll tax and compliance activities and prepare required reporting.
- Coordinate with Human Resources, Accounting, and operational teams to ensure payroll data is communicated and processed correctly.
- Assist with year-end payroll tasks and any required tax or benefit reporting.
- Maintain confidentiality when handling employee and payroll information.
- Research and resolve payroll discrepancies in a timely manner.
- Contribute to process improvements, documentation updates, and better system utilization.
- Support additional payroll- or HR-related projects as responsibilities evolve.
Qualifications
- Associate or bachelor’s degree preferred (Accounting, Human Resources, Business, or related field).
- Entry-level candidates with relevant education and a strong interest in payroll are encouraged to apply.
- 2+ years payroll, accounting, HR, or related experience preferred but not required.
- Multi-state payroll experience is a plus.
- Experience supporting both hourly and salaried workforces (manufacturing or similar environments) preferred.
- Strong attention to detail and commitment to accuracy.
- Comfortable working with numbers, employee data, and meeting deadlines.
- Proficiency with Microsoft Office (Excel) and ability to learn payroll/HRIS systems.
- Strong organizational, time management, analytical, and problem-solving skills.
- Clear written and verbal communication skills; ability to assist employees and managers professionally.
- Dependable and trustworthy when handling sensitive information.
- Eagerness to learn and grow within payroll over time.
Compensation & Benefits
- Salary range: $60,000–$70,000 per year (salary depends on experience and qualifications).
- This role may be eligible for discretionary incentive programs and company-sponsored benefits subject to program rules.
Location & Work Context
- Based in Fitchburg, WI. The role supports employees across multiple locations (may include multi-state payroll processing).
- This position is with a confidential client in the Accounting & Finance industry.
- Candidates should be willing to work with internal teams (HR, Accounting, Operations) and maintain timely communication to meet payroll schedules.
