What You’ll Do
Confidential Client is seeking an Operations Coordinator to support daily administrative and logistical operations. This role partners with customer service, warehouse personnel and management to ensure accurate order processing, on-time shipments and well-maintained operational records.
- Process customer orders: prepare and review invoices, packing lists, delivery documents and shipping instructions.
- Coordinate priorities and completion times with the warehouse team to meet service requirements.
- Verify shipment documentation matches orders and goods prepared for dispatch.
- Provide timely shipment and delivery-status information to internal teams and customers.
- Assist with order coordination between customers, operations and the warehouse.
- Receive inventory for indent orders and update stock records as required.
- Arrange routine shipments (parcel, LTL, FTL, containerized exports) under established procedures.
- Prepare and verify ERP and commercial invoices, Shipper’s Letters of Instruction (SLI), bills of lading and other shipping documentation.
- Escalate delays, failed pickups or service issues and follow through to resolution.
- Ensure hazardous-material shipments and AES filings comply with company procedures and regulations.
- Maintain accurate shipment records by customer and escalate customs or documentation exceptions.
- Maintain inventory levels for office and warehouse supplies.
- Process incoming mail, deposit checks using remote banking software, and process invoices for payment.
- Maintain fleet records (insurance, registration, title, service).
- Liaise with property management when required.
- Assist HR with onboarding new employees and coordinate digital filing systems for operational documentation.
- Perform other related duties assigned by management.
Qualifications
- Associate degree, bachelor’s degree, or relevant post-secondary qualification in Logistics, Supply Chain Management, Business Administration, Operations or related field — or equivalent relevant experience.
- Up to two years of experience in logistics, order processing, receiving, customer service, or warehouse administration preferred; strong entry-level candidates will be considered.
- Basic understanding of purchase orders, invoices, packing lists and shipping/receiving documents.
- Working knowledge of Microsoft Office, especially Excel; experience with an ERP or logistics system is an advantage.
- Willingness to complete hazardous-material and export-compliance training as required.

Working Conditions & Physical Requirements
- Office and warehouse environment with regular interaction with warehouse staff.
- Occasional outdoor exposure when coordinating pickups, deliveries or other activities.
- May occasionally respond to time-sensitive shipment or receiving issues outside normal hours.
- Physical demands: must be able to walk, stand and occasionally lift up to 25–45 lbs.
Compensation & Employment Type
- Estimated pay (from source data): $39,304 per year (estimated).
- Employment type: Full-time.
- Location: Hialeah Lakes, FL — hybrid / telecommute options may apply per business needs. Remote applicants in the U.S. may be considered where permitted.
