Position Overview

The Operations Associate, Brand & Events provides administrative, logistical, and operational support to the Brand & Events team across a growing portfolio of residential communities. This entry-level role is the organizational backbone for monthly programming, resident communications, vendor relationships, and event logistics—helping ensure consistent brand standards and an excellent resident experience.

This posting is for a Confidential Client and is open to candidates based in Jersey City, NJ. The role requires strong organization, attention to detail, and a collaborative, customer-service mindset.


Key Responsibilities

  • Administrative & Operational Support
    • Maintain and update event, design, vendor, and project trackers.
    • Upload and organize finalized marketing assets, photos, and project folders following naming conventions.
    • Maintain inventory and storage of operational materials.
    • Triage and manage resident inquiry inboxes, Google Reviews, and social DMs; draft responses for manager review.
    • Process event- and vendor-related invoices and coordinate payments.
    • Coordinate purchases, shipping, and logistics for event supplies and promotional materials.
    • Maintain internal property documentation and operational resources.
    • Support managers with day-to-day project coordination and research local vendors/partnerships.
    • Assist Operations and Leasing teams for new property openings and amenity launches.

Communications & Scheduling

  • Prepare and distribute monthly Property Manager communications using templates.
  • Draft resident-facing communications and collateral for management review.
  • Coordinate calendars, meetings, and scheduling with internal teams and external vendors.
  • Assist with outreach to vendors, photographers, and brand ambassadors; track confirmations and follow-ups.
  • Coordinate distribution of monthly resident offers, flyers, and promotional materials.

Event Production Support

  • Support planning and execution of resident events across urban and suburban communities.
  • Coordinate event logistics: supplies, signage, setup, and onsite support as needed.
  • Track event attendance, resident feedback, and performance metrics.
  • Assist with post-event reports and recaps.

Brand & Resident Experience Support

  • Support content creation, brand activations, internal events, and partnership initiatives.
  • Coordinate print production timelines and ensure on-time delivery of printed materials.
  • Assist with resident portal updates, digital signage, and community postings.
  • Coordinate branded merchandise and promotional collateral orders.
  • Help maintain brand consistency across multiple communities.

Additional Duties

  • Perform other job-related duties as assigned by management based on business needs.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree in Marketing, Communications, Hospitality, Business, Event Management, or related field preferred.
  • 0–2 years experience in events, hospitality, marketing, real estate, customer service, or administrative support preferred; internships and part-time experience considered.
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Exceptional attention to detail and commitment to accurate work.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace (Drive, Docs, Sheets, Gmail), Microsoft Outlook, and Microsoft Office.
  • Comfortable learning new software platforms quickly.
  • Strong customer service mindset and collaborative approach.
  • Ability to work independently while prioritizing multiple tasks.
  • Interest in branding, events, marketing, or residential real estate preferred.

Work Schedule & Availability

  • Monday–Friday, standard business hours.
  • Occasional evening or weekend availability required to support resident events and initiatives.
  • Local travel between properties may be required.

Essential Functions

  • Provide administrative support for Brand & Events operations.
  • Coordinate event logistics, communications, and scheduling.
  • Maintain organizational systems, trackers, and documentation.
  • Support vendor coordination and operational processes.
  • Assist with resident engagement initiatives and brand consistency across communities.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Ability to stand and walk during onsite events and property visits.
  • Occasionally lift and move event materials up to 25 pounds.
  • Use standard office equipment, including computers, phones, printers, and copiers.

Work Environment

  • Combination of office and onsite property environments.
  • Occasional travel between assigned communities.
  • Fast-paced setting requiring organization, adaptability, and attention to detail.
  • Frequent interaction with residents, vendors, property teams, and internal stakeholders.
