What You’ll Do

You will help ensure smooth daily office operations for a Confidential Client in Salt Lake County, UT. This role focuses on office management, executive support, vendor coordination, and creating a professional, organized workplace. Responsibilities vary by hire level (I, II, III); below is a consolidated, recruiter-optimized summary of core duties.

  • Oversee general office operations, including office maintenance and supplies management.
  • Coordinate equipment maintenance and submit or manage facility repair requests with building management or outside vendors.
  • Serve as the primary on-site contact for building services, vendors, caterers, and internal teams.
  • Schedule and manage internal and external meetings, conference/video calls, and calendars for leadership.
  • Support local culture and employee engagement initiatives (planning logistics for events).
  • Help manage office budget, purchase orders, and negotiate vendor contracts and pricing as needed.
  • Provide back-office support across accounting, reception, payroll, facilities, and supply inventories.
  • Perform duties with increasing independence and judgment appropriate to the assigned job level.

Qualifications

The department may hire at one of three job levels (I / II / III). Minimum qualifications are summarized below; education/experience may be substituted per the equivalency rules.

  • Office Administrator I — Entry level. Bachelor’s (or equivalency) + 2 years related experience, or master’s (or equivalency). Basic proficiency; closely supervised.
  • Office Administrator II — Developing level. Bachelor’s (or equivalency) + 4 years related experience, or master’s + 2 years. Moderate independence and judgment.
  • Office Administrator III — Career level. Bachelor’s (or equivalency) + 6 years related experience, or master’s + 4 years. High proficiency with minimal supervision.
  • EQUIVALENCY NOTE: 1 year of higher education may be substituted for 1 year of related work experience (example: bachelor’s degree = 4 years related experience).

Preferred Skills & Experience

  • Strong organizational skills and attention to detail.
  • Proven experience with vendor management and contract/price negotiation.
  • Calendar and meeting management for executives.
  • Familiarity with basic accounting tasks (purchase orders, budget tracking) and payroll/reception support.
  • Good written and verbal communication; professional front-desk presence.
  • Comfort working with facilities, maintenance requests, and supply inventory systems.
  • Ability to prioritize multiple tasks and handle confidential information.

Compensation & Benefits

  • Estimated pay (as listed by source): $47,600 per year — estimated. Actual hiring level and pay will depend on selected job level (I/II/III) and the candidate’s experience.
  • Full-time position.
  • Our client offers standard employee benefits consistent with the Admin sector. Specific benefit details will be provided by the hiring organization during the process.
