Role overview

This is a full-time, on-site Merchandising Samples Coordinator role for a confidential client based in Fountainebleau, FL (Miami area). The coordinator will manage production and client samples, maintain accurate inventory, and support sample flow between production, showroom, and client-facing teams. What you’ll do

• Manage shipping and receiving of samples (DHL, FedEx, UPS); ensure proper handling, documentation, and tracking.
• Own sample intake: check in, photograph, document, and organize samples per established procedures.
• Maintain and update sample inventories onsite and offsite; coordinate warehouse re-orders and showroom stock levels.
• Provide real‑time sample status updates to production via the Production Status Report; source sample references and send invoices as needed.
• Assist with incoming quality control inspections and complete QC reports when discrepancies arise.
• Update incoming/outgoing tracking boards and share tracking details with the team via Slack.
• Prepare samples for meetings: steam, organize, attach sample cards, and ensure showroom displays are presentation-ready.
• Pickup and drop off packages or mail when required.
• Follow opening and closing procedures for the showroom and assist with ordering materials in coordination with Finance.
• Report sample issues or delays promptly — within 24 hours of receipt — and communicate status on daily internal calls.
• Work collaboratively to meet deadlines and support production and client presentations.

What we’re looking for

• Experience or familiarity with sample management, inventory control, retail merchandising, or warehouse operations.
• Extremely detail-oriented with strong organizational and written/verbal communication skills.
• Ability to lift and carry boxes weighing 20–25 lbs as part of routine duties.
• Comfortable working on-site in Fountainebleau, FL (Miami area).
• Prior merchandising or production experience is a plus but not required — this role is suitable for entry-level candidates eager to learn.
• Associate’s or Bachelor’s degree in Fashion Merchandising, Business, or a related field preferred but not required.
• Candidates must be authorized to work in the United States.
