Role Overview
Confidential Client is hiring a Marketing Coordinator to support the Energy Marketing team in a hybrid role based in Jacksonville, FL. This is a full-time, entry-level opportunity ideal for an organized, detail-oriented communicator who wants to build a career in marketing within the Architecture, Engineering, and Construction (AEC) industry. The role centers on proposal production and quality control, marketing data and knowledge management, presentation and collateral support, and conference/event coordination.
Key Responsibilities
Proposals & Pursuits
- Support development and production of RFPs, RFQs, qualifications packages, letter proposals, presentations, and other pursuit materials.
- Review RFPs to identify submission requirements, deadlines, and compliance items.
- Assist with proposal outlines, compliance checklists, schedules, and initial InDesign documents.
- Gather project, personnel, technical, and company information for proposal responses.
- Coordinate with marketing and technical staff to collect required content.
- Format, proofread, edit, and perform quality-control reviews of proposal materials.
- Support final proposal production and submission processes.
- Maintain organized records of completed proposals and pursuit materials.
Marketing Data & Knowledge Management
- Gather, organize, validate, and enter project, personnel, client, and marketing data.
- Build and maintain a project experience library and reusable marketing content (project profiles, project sheets, resumes, qualifications).
- Organize and tag experience by market, service, client, project type, and technical capability to improve accessibility.
- Maintain personnel records (experience, qualifications, certifications).
- Maintain boilerplate language, proposal content, and marketing resources.
- Perform CRM and content-system data entry, maintenance, and quality control.
Presentations, Creative & Collateral
- Assist with qualifications presentations, client presentations, conference materials, brochures, and other collateral.
- Provide document layout and basic graphic design support using Adobe InDesign and Creative Cloud apps plus Microsoft PowerPoint.
- Ensure brand standards are maintained across marketing materials.
- Update templates and collateral in coordination with the Marketing team.
Conferences, Events & Communications
- Support participation in conferences, tradeshows, client events, and industry activities.
- Assist with registrations, sponsorships, logistics, shipping, and event collateral.
- Coordinate event preparation with marketing and technical staff.
- Assist with internal and external communications and content development as needed.
Qualifications
- Bachelor's degree in Marketing, Communications, Public Relations, Graphic Design, English, Journalism, Business, or a related field.
- One (1) year of marketing internship or professional experience preferred.
- Strong writing, editing, proofreading, and verbal communication skills.
- Exceptional organizational skills and strong attention to detail.
- Ability to gather information from multiple sources and organize it in a clear, consistent manner.
- Comfortable managing multiple assignments and deadlines in a fast-paced, team-oriented environment.
- Proficiency with Microsoft Word and Microsoft PowerPoint.
- Experience with Adobe Creative Cloud, particularly Adobe InDesign, preferred.
- Experience with CRM systems, databases, or content-management systems preferred.
- Self-motivated, dependable, and effective working both independently and collaboratively.
- Receptive to feedback and eager to apply it to future assignments.
- Curiosity and willingness to learn about energy markets, clients, projects, and technical services.
- Desire to grow professionally within the AEC industry.
Compensation & Logistics
- Estimated base pay: $63,709 per year (estimated). Starting pay may vary based on role, experience, and geographic location.
- Additional cash incentives and benefits may be offered depending on the position.
- All offers are contingent upon satisfactory background checks and may require a pre-employment drug and alcohol screen as permitted by law.
