Junior Administrator (Part Time)

What You’ll Do
This is a part-time, entry-level administrative role that supports the business management and accounting teams. Core responsibilities include:
- Communicate with internal team members to gather project requirements and ensure alignment
- Assist with facilitating meetings and documenting outcomes
- Support monthly credit-card reconciliation by reviewing transactions, monitoring balances, following up on missing documentation, and resolving discrepancies
- Request project status updates from stakeholders and accounting staff to ensure deadlines are met
- Report project status, concerns, and recommended solutions to management
- Help prioritize tasks for the business management team and communicate updates to appropriate parties
- Maintain accurate records of critical client information (IDs, safe lists, logins, etc.)
- Maintain professional communication with vendors and trusted advisors
- Follow and maintain team phone communications per company policy
- Assist with email management and other administrative tasks for the internal team
- Support accounts payable processing by requesting required backup and preparing documentation for payments
- Track and update checklists and calendars; notify the team of required action items
- Scan, file, and perform other basic administrative duties to support staff and managers
- Complete ad-hoc projects and assignments as directed by leadership
Qualifications
- Bachelor’s degree or current enrollment in Business, Music, or a related program
- Experience using Excel is highly preferred
- Previous accounts payable or credit-card reconciliation experience preferred but not required
- Extremely detail-oriented with the ability to manage multiple administrative projects
- Strong work ethic, positive attitude, and alignment with the firm’s culture and values
- Ability to work approximately 4 hours per day (up to 20 hours per week)
- Ability to reliably commute and report to the Confidential Client office in Nashville, TN

Schedule, Location & Compensation
- Employment type: Part-time (up to 20 hours/week)
- Location: Nashville, TN (on-site attendance required)
- Estimated annualized compensation (Adzuna estimate): $66,617 per year (pro-rated for part-time hours). Final pay offered will be based on qualifications, experience, and education.
