Intellectual Property Assistant

Key Responsibilities
- Prepare, proofread, and format formal client correspondence, patent-related applications, and other legal documents with high accuracy.
- Support USPTO filings by preparing documents and following firm and USPTO filing procedures under supervision.
- Maintain electronic case files and docketing systems; ensure data integrity and timely calendar management.
- Assist with administrative workflows, including coordinating client billing documentation and file management.
- Collaborate with patent attorneys, agents, paralegals, and administrative staff to meet client needs and strict deadlines.
- Participate in training to learn patent prosecution processes and specialized systems.
Qualifications
- Minimum 6 months of administrative, office support, or clerical experience; prior experience in a law firm or professional services environment is preferred.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Exceptional attention to detail, including strong proofreading and grammar skills.
- Strong organization and time-management skills; able to prioritize tasks and meet deadlines consistently.
- Proficient with Microsoft Office; aptitude for learning specialized databases and docketing systems quickly.
- Professional written and verbal communication skills appropriate for interacting with internal teams and external clients.
- Local candidates preferred (role requires occasional in-office attendance).
Location & Schedule
- Employment type: Full-Time
- Schedule: 9:00 AM – 5:00 PM
- Work structure: High-flexibility hybrid (primarily remote with occasional required in-office days)

- Salary: $55,000 – $75,000 DOE
