What You’ll Do

Reporting to the Occupational Health Services (OHS) Records Manager, you will support administration of occupational health programs and HRIS-related medical records for the Confidential Client. Key responsibilities include:

  • Assist with pre-employment and occupational health scheduling and coordination for county departments and partner agencies.
  • Maintain accurate, confidential medical and HR records; perform encryption/decryption, downloading, saving, and daily file updates.
  • Track pre-hire medical progress using Excel and HRIS tools; provide timely status updates to hiring managers and applicants.
  • Manage multiple email inboxes and phone lines; draft routine correspondence, prepare letters, and respond to inquiries.
  • Reconcile medical billing, invoices, and vendor activity related to appointments (cancellations, reschedules, no-shows).
  • Support Workday or other system integration projects as assigned; assist with testing updates, patches, and functional configuration tasks.
  • Create and maintain logs, databases, and routine reports; perform queries and compile data for narrative and statistical reports.
  • Ensure compliance with HIPAA, OSHA, and applicable HR policies when releasing and handling regulated medical information.
  • Assist with operational documentation, SOP updates, and special projects; order and maintain office supplies as needed.
  • Greet and direct visitors; support daily front-desk and administrative tasks and, when assigned, supervise temporary clerical staff.

Qualifications

Required

  • High school diploma or equivalent.
  • Two (2) years of clerical or technical experience in a human resources function or job placement.
  • Ability to handle confidential materials with discretion and follow regulatory requirements (HIPAA/OSHA).
  • Proficiency with Microsoft Excel and standard office software; typing and basic data-entry skills.

Preferred

  • One (1) year of clerical, administrative, medical scheduling, or secretarial experience plus two (2) years of professional HR, healthcare administration, compliance, or closely related experience.
  • Experience working with HRIS platforms (Workday experience is a plus).
  • Education in human resources, business/public administration, health administration, psychology, or law.
  • Experience preparing clear written reports and interpreting regulations.
  • Ability to supervise clerical staff and train temporary employees.

Education substitutions: Additional coursework in personnel administration may be substituted year-for-year for required experience. Applicants who earned degrees outside the U.S. must provide equivalency documentation (e.g., WES).

Compensation & Schedule

  • Base salary range: $45,163 – $52,275 per year.
  • Regular schedule: 35 hours per week.
  • Employment type: Full-time.
  • Position requires successful completion of a pre-employment background check (criminal, education verification, and fingerprinting as applicable).

Working Conditions & Other Requirements

  • This position requires strict confidentiality when handling medical and HR records and adherence to HIPAA and OSHA requirements.
  • May require onsite presence in Towson, MD; occasional coordination with external medical providers and county departments.
