Role overview
Confidential Client is seeking an HR Coordinator to support a fast-paced HR team based in Schaumburg, IL. This full-time, entry-level to early-career role focuses on onboarding, HRIS data entry, personnel file maintenance, basic payroll support, compliance (I-9, FMLA, ADA, EEOC), and employee engagement activities. The position is primarily located in Schaumburg with work split between Schaumburg and Des Plaines and offers hybrid flexibility (remote after training, typically 1–2 days/week as integration increases).

What you’ll do
- Schedule, prepare and administer onboarding materials and remote orientations (including I-9 verifications and compliance checks)
- Support background screening and onboarding compliance processes
- Enter and maintain new hires and status changes in the HRIS and related systems
- Maintain, audit and upload personnel file documentation (digital)
- Assist with benefits administration, employee engagement initiatives, and stay interviews
- Support online training administration (HIPAA, Bloodborne Pathogen, Mandated Reporter, Sexual Harassment)
- Provide administrative and clerical support to the HR team and department leaders
- Assist with basic payroll initiatives and related data entry tasks
- Prepare anniversary recognitions and other employee communications
- Participate in special HR projects as assigned
Who you are / Qualifications
- Bachelor’s degree required; Human Resource Management strongly preferred
- Minimum 12 months experience in an HR coordinator/specialist or related role (9 months–2 years preferred)
- Experience with onboarding, orientation and offboarding processes
- Strong confidentiality and experience handling sensitive employee information
- Familiarity with state and federal HR policies (HIPAA, EEO, ADA) and basic workers’ compensation concepts
- Proactive, detail-oriented, able to manage competing priorities and meet deadlines
- Strong verbal and written communication skills; team player with a positive, service-oriented attitude
- Advanced Microsoft Office skills and accuracy with data entry
- Payroll exposure is a strong plus
- Reliable transportation for travel between sites as needed
- Must be authorized to work for any employer in the U.S.; Confidential Client cannot sponsor visas at this time
