What You’ll Do
Confidential Client is seeking an organized, customer-focused HR Coordinator to support HR operations at the Irvine headquarters. This entry-level role is ideal for someone early in their HR career who is eager to learn, takes pride in accuracy, and enjoys delivering excellent service to employees.
- Assist with new-hire onboarding logistics: prepare paperwork packets, coordinate background checks, and support Day 1 setup.
- Maintain and organize employee records and personnel files; ensure accuracy and confidentiality.
- Support benefits administration: assist with enrollment paperwork, process status-change requests, and respond to basic employee inquiries.
- Track compliance items (training completions, certifications, policy acknowledgements) and follow up as needed.
- Draft and distribute routine HR communications (reminders, announcements, distribution lists).
- Coordinate scheduling and logistics for HR meetings, trainings, and company events.
- Serve as a first point of contact at the reception desk: greet visitors, answer phones, and direct inquiries.
- Provide general administrative support to the HR team: filing, data entry, ordering supplies, and vendor coordination.
- Help maintain audit readiness by keeping records current, organized, and accessible.
- Maintain shared areas (kitchen/break room) in presentable condition and stocked as needed.
- Perform other HR and office-related duties and projects as assigned.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s in Human Resources, Business Administration, or related field preferred.
- 2+ years of experience in HR, office administration, or a customer-facing support role; internships and related experience considered.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Strong interpersonal and written communication skills; comfortable engaging with employees at all levels.
- Highly organized with strong attention to detail and consistent follow-through.
- Ability to handle sensitive information with discretion and professionalism.
- Positive, team-oriented attitude and willingness to pitch in across tasks.
