What You’ll Do
Confidential Client is seeking a Grants Specialist I to provide entry-level grant administration and program support. The role focuses on administering lower-complexity grants or defined components of larger awards, maintaining accurate records, tracking expenditures, and supporting grant reporting and compliance.
- Administer assigned lower-complexity grants or components of larger awards under guidance from senior grants staff.
- Monitor grant requirements, award conditions, deadlines, performance measures, and deliverables.
- Maintain complete, accurate, and audit-ready grant files and supporting documentation.
- Assist with preparation and submission of grant applications, renewals, amendments, budget modifications, extensions, and closeout materials.
- Review expenditures, invoices, and payment requests for consistency with approved grant budgets and funding requirements; escalate discrepancies.
- Track purchase orders, reimbursements, invoices, and other financial transactions related to assigned grants.
- Coordinate with internal divisions (Finance, Purchasing, Budget, Human Resources) and program personnel to collect documentation and performance data.
- Assist in preparing financial, programmatic, and performance reports required by funders or administration.
- Develop and maintain spreadsheets, trackers, or dashboards to monitor deadlines, expenditures, equipment, and deliverables.
- Monitor grant-funded equipment/inventory records to support asset-management compliance.
- Support responses to audits, monitoring visits, and requests for documentation.
- Conduct basic research on funding opportunities, grant requirements, and applicable regulations (e.g., 2 CFR Part 200).
- Prepare correspondence, summaries, and internal routing documentation related to grant activities.
- Perform other grant-administration and program-support duties as assigned.
Minimum Qualifications
- Bachelor’s degree from an accredited college or university in Public Administration, Business Administration, Finance, Accounting, Criminal Justice, Political Science, Public Policy, or a closely related field; AND
- Minimum of one (1) year of experience in an office environment, preferably in budgeting, finance, accounting, contracts, or program administration.
OR
- In lieu of a bachelor’s degree, four (4) years of relevant experience in grants administration, budgeting, finance, accounting, contracts, or program administration may substitute.
Additional required skills:
- Working knowledge of or ability to quickly learn basic principles of grant administration, governmental accounting, budgeting, and purchasing.
- Ability to interpret and follow grant guidelines, award conditions, policies, and administrative requirements.
- Strong organizational skills with the ability to manage multiple assignments, deadlines, and deliverables.
- Attention to detail for reviewing documents and financial records for completeness and consistency.
- Ability to work independently within established guidelines and escalate complex issues appropriately.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Effective written and verbal communication skills.
Preferred Qualifications
- Experience in a governmental, public-safety, nonprofit, or grant-funded environment.
- Familiarity with grant budgeting, accounting, purchasing, contracts, and financial tracking.
- Experience preparing reports, tracking expenditures, and maintaining compliance documentation.
- Intermediate proficiency with Microsoft Excel (spreadsheets, trackers, pivot tables).
- Knowledge of federal, state, or local grant requirements (e.g., 2 CFR Part 200).
Work Environment & Schedule
- Position type: Full-time, Nonexempt, Professional Staff.
- Typical schedule: Monday–Friday, 8:00 AM – 5:00 PM; may require occasional after-hours or on-call support.
- Primary setting: professional office environment using standard office equipment (computers, phones, printers).
- Physical demands: primarily sedentary; ability to lift and carry up to 10 pounds (files/boxes) is required.
Compensation
- Estimated pay: $57,841 per year (estimated). Actual compensation, benefits, and other terms will be provided by the confidential client during the hiring process.
