Overview
Confidential client is seeking an Entry-Level Executive Assistant to support senior talent and adult-market leaders. This full-time role is based in Johnson City, TN and requires regular in-office presence (typically 2–3 days per week). The Executive Assistant will provide high-quality calendar and meeting support, prepare presentations and materials, coordinate travel and events, and help the team run smoothly as priorities evolve.
Primary Responsibilities
- Strategically manage complex executive calendars, prioritizing competing requests, protecting time for critical work, and ensuring leaders are prepared for key commitments.
- Coordinate internal and external meetings and executive travel logistics; prepare agendas, materials and context for meeting participants.
- Track follow-up items, deadlines, and commitments; provide reminders and ensure timely completion of action items.
- Manage day-to-day administrative tasks including expense reports, meals, and ad-hoc requests that support executive productivity.
- Serve as a primary contact for senior leaders and their EAs/coordinators; collaborate to ensure appropriate coverage for events, Board meetings, and leadership activities.
- Support department processes: maintain distribution lists, shared inboxes, calendars, Slack channels, and other systems so information is organized and accessible.
Meeting, Communications & Event Support
- Provide end-to-end support for leadership and department meetings—agenda development, materials prep, logistics, note-taking, and communicating decisions and owners.
- Draft, edit, and proofread executive and department communications, presentations, weekly updates, and newsletters.
- Assist with planning and executing team in‑days, gatherings, and special events: agenda/content development, presenter coordination, attendee logistics, and onsite experience.
Qualifications
- Bachelor’s degree.
- Minimum 0+ years work experience; entry-level candidates with strong organization and initiative encouraged to apply.
- Strong attention to detail, prioritization, and follow-through.
- Proactive problem-solving; comfortable asking questions to gain context and clarify expectations.
- Discretion handling sensitive and confidential information.
- Advanced PowerPoint and strong Excel skills; experience building polished decks from scratch and refining content for presentation.
- Excellent written and verbal communication and time-management skills.
