What You’ll Do

This entry-level Events Coordinator role supports the events team at a confidential client across the full event lifecycle — from vendor research and logistics to on-site execution and post-event follow-up. You’ll work closely with Events Managers and cross-functional partners (Marketing, Communications, People/HR) to ensure smooth, on-brand event experiences for both internal and external audiences.

  • Support day-to-day event logistics and production (materials prep, badges, signage, shipping, inventory)
  • Maintain the master events calendar — track deadlines, vendor deliverables, and action items
  • Collect vendor quotes, help process invoices, and assist with budget reconciliation
  • Provide on-site support at events (registration desk, attendee assistance, troubleshooting)
  • Research venues and vendors (catering, AV, printing, swag, transportation) and present recommendations
  • Maintain an organized vendor/contact library and historic event records for reuse
  • Coordinate internal events (Town Halls, offsites) — room/AV setup, catering and schedule coordination
  • Partner with Marketing on collateral, registration pages, invitation emails, and attendee tracking
  • Manage registrations, RSVPs, and badge/name tag production; support pre- and post-event communications
  • Help order and manage inventory of branded swag and promotional items
  • Travel occasionally and provide on-site support including early mornings or evenings as required

What We’re Looking For (Required)

  • Bachelor’s degree in Marketing, Communications, Hospitality, Event Management, or equivalent experience
  • 1–3 years’ experience in event planning, hospitality, marketing coordination, or a related administrative/coordination role
  • Proficiency with Microsoft Office (Excel, PowerPoint); comfortable learning event/registration platforms
  • Strong organization, attention to detail, and ability to manage multiple deadlines
  • Clear written and verbal communication and vendor coordination skills
  • Comfortable researching options and making recommendations to more senior team members
  • Collaborative mindset and ability to support multiple managers and cross-functional partners
  • Willingness to travel occasionally and provide on-site support

Preferred Skills

  • Direct experience researching venues/vendors or coordinating logistics for meetings or events
  • Familiarity with event registration systems, badge printing, and basic AV/catering needs

Compensation & Benefits

  • Anticipated hiring range: $52,000 to $65,000 annually (final offer based on experience, skills, and internal equity)
  • Short-term incentive eligible (amounts vary by individual and business goals)

Location & Work Model

This position is listed for Birmingham, AL and supports a remote-first / telecommute work model with occasional on-site event support required in the region. Applicants should be able to travel to event locations as needed.
