Overview
Confidential Client is seeking an Entry Level Legal Assistant (Collateral Specialist) to join their Collateral Services team in Highland Beach, FL. This full-time, on-site position focuses on day-to-day collateral file management, secure handling of original documents, scanning/imaging, and maintaining accurate records in the system of record. This role is ideal for an organized self-starter who wants to develop a career in legal operations and document management.
What You’ll Do
- Create, audit, and ship collateral files
- Execute, save, and upload bailee letters into the client system to confirm receipt of collateral files
- Ensure safekeeping and secure storage of original documents in the Firm Vault
- Send collateral files to successor counsel, co-counsel, or clients upon case resolution
- Stack, scan, and image original collateral loan documents
- Upload scanned images into the system of record
- Create collateral packages verifying required documents are present
- Audit collateral packages for required signatures and accurate loan-level data
- Update the system of record with key information (dates, tracking numbers, notations, etc.)
- Perform other duties as assigned by department leadership
Qualifications
- Proficient computer skills, including Microsoft Office (Word, Excel, Outlook)
- Excellent oral, written, and interpersonal communication skills
- Strong organizational skills, attention to detail, and time management
- Comfortable working in a high-volume, process-driven environment
- Team player who can adapt to shifting priorities and follow compliance procedures
Education
- High school diploma or equivalent required
- Associate’s or Bachelor’s degree preferred
Physical Requirements
- Must be able to file and retrieve collateral documents from a secured Firm Vault
- Some walking, standing, and manual handling of files is required
- Ability to remain stationary approximately 80% of the time while performing computer-based tasks
- Must be detail oriented and able to learn and follow procedural training

- Full-time, onsite position in Highland Beach, FL
- Standard business hours
