About the Role
This is an entry-level, hands-on administrative role supporting day-to-day clinic/facility operations for a Confidential Client in Oak Lawn, IL. The position is ideal for someone eager to learn, contribute practical solutions on the floor, and grow into broader administrative or supervisory responsibilities over time.
What You’ll Do
You will support smooth operations across the facility by combining administrative duties with on-the-floor problem solving.
- Be present on the floor to identify, address, and resolve operational issues as they occur.
- Perform light facility troubleshooting (report maintenance issues, restock supplies, perform minor fixes).
- Check in with staff regularly to ensure daily task lists are completed accurately and on time.
- Provide management with updates about workflow progress, task completion, and obstacles.
- Assist with bill organization, payment coordination, and vendor communication (invoices, supply orders, service schedules).
- Support coordination of staff schedules, meetings, and internal communications.
- Organize and maintain inventory, office supplies, and essential equipment.
- Maintain accurate administrative records, invoices, and documentation.
- Suggest and contribute ideas to improve workflow efficiency, team collaboration, and organization.
- Perform other administrative tasks as assigned to keep the clinic running efficiently.
Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree is a plus).
- Strong organizational and clear communication skills.
- Comfortable working on the floor in a fast-paced environment and stepping in where needed.
- Ability to multitask, prioritize, and adapt to changing needs.
- Team-oriented, proactive, and eager to learn.
- Basic computer skills (Microsoft Office, Google Workspace, etc.).
- Willingness to assist with vendor and billing processes (training provided).
