Role Overview

Confidential Client is hiring an Entry Level Admin - Program & Travel Support to join a Logistics Support team in the Electronic Warfare business area. This full-time, on-site role in Middletown, RI provides program operational support, meeting coordination, monthly reporting, and end-to-end travel coordination while maintaining compliance with contractual and regulatory requirements.


What You’ll Do

  • Provide day-to-day operational and administrative support across program activities to keep workflows, schedules, and communications organized.
  • Prepare meeting agendas, coordinate logistics, capture accurate minutes, and track action items and follow-ups.
  • Manage end-to-end travel logistics: research options, book transportation and lodging, prepare itineraries, and handle travel changes or disruptions.
  • Monitor and manage travel budgets and per diem allowances to ensure compliance with contract limits and JTAR regulations.
  • Gather updates, maintain trackers, consolidate data, and produce clear monthly summaries for leadership.
  • Maintain audit-ready documentation and ensure program activities comply with organizational policies and contractual requirements.
  • Identify process inefficiencies and recommend or support implementation of improved workflows and tools.
  • Use discretion and sound judgment when coordinating employee travel and program logistics.

Qualifications

  • Education: Bachelor’s degree in a related field preferred but not required.
  • Experience: Minimum of 2 years of relevant administrative, program support, or travel coordination experience.
  • Clearance: Ability to obtain and maintain a Secret level security clearance is required; an active Secret clearance is strongly preferred.
  • Citizenship: As a requirement of employment, U.S. Citizenship is required.
  • Technical skills:
      • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.
      • Familiarity with MS Visio is a plus.
  • Preferred background:
      • Experience supporting U.S. Navy / military programs or operations is a plus.
      • Prior program support specialist or similar administrative role is desirable.
  • Core strengths:
      • Strong organizational skills, attention to detail, and time management.
      • Excellent written and verbal communication and interpersonal skills.
      • Ability to handle confidential information with discretion.
      • Analytical, creative problem-solving and a willingness to learn.
      • Able to collaborate constructively across diverse personalities and work calmly under pressure.

Location & Clearance

  • Work location: Middletown, RI (on-site)
  • Travel: None required
  • Clearance: Secret (ability to obtain and maintain required)
