Position summary
Confidential Client is hiring an Entry Level Accounting Specialist to support daily accounting operations in Maywood, IL. This hands-on role focuses on accounts payable, accounts receivable, cash receipts, credit card reconciliation, and general ledger support. The position offers exposure to Sage Intacct, month-end close activities, audit support, and opportunities to learn nonprofit fund accounting.
What You’ll Do
Accurate transaction processing, reconciliations, and vendor relations — responsibilities include:
- Manage invoice workflow: collect invoices, verify documentation, obtain approvals, and enter invoices into the accounting system.
- Prepare check and payment listings; upload Positive Pay files to the online banking system.
- Allocate, code, enter, and reconcile company credit card transactions and monthly statements.
- Serve as a vendor point of contact for invoice/payment inquiries and maintain vendor records (including ACH setup).
- Administer petty cash, client funds (e.g., laundry), transportation cards, and gift card distribution per finance procedures.
- Track utility, leasing, and other recurring payments to ensure timely processing and accurate coding.
- Enter or import online donations and electronic deposits; reconcile cash receipts and deposits to supporting documentation.
- Assist with account reconciliations, general ledger maintenance, and month‑end/year‑end close tasks.
- Create and run Sage Intacct reports and prepare ad‑hoc financial reports as requested.
- Support audits by compiling documentation and responding to information requests.
- Assist with grant billing and filing/archiving accounting records in accordance with document retention policies.
- Identify discrepancies and opportunities to improve payment processing and internal controls.
- Provide responsive service to internal departments and external vendors; maintain an active team-oriented approach.
What We’re Looking For
Minimum qualifications and ideal experience:
- Bachelor of Science in Accounting or equivalent experience (or working toward degree).
- At least 1 year of accounting experience preferred; nonprofit accounting experience is a plus.
- Working knowledge of GAAP, accrual accounting, and fund accounting concepts.
- Proficiency with Microsoft Office (Excel required). Experience with Sage Intacct or similar accounting systems preferred.
- Strong attention to detail and ability to work with numerical data and supporting documents.
- Good communication skills for interacting with vendors and internal stakeholders.
- Ability to maintain confidentiality and follow internal controls and finance policies.
- Close visual acuity to prepare and analyze data and work on a computer. Reasonable accommodations will be made as needed.
