About the role

This opportunity is being recruited by Careertakes on behalf of a Confidential Client. The Editor Assistant (also described as Content Editing Associate) supports the maintenance and growth of medical reference and education products. This is an entry-level, hybrid role where you’ll coordinate editorial projects, maintain product records, support acquisitions and development editors, and help improve processes across the team.

The role is ideal for organized, curious, and analytical candidates who want to grow in content editing and medical publishing within an IT-focused environment that supports medical reference products.

What you’ll do

  • Coordinate project schedules, track deliverables, arrange cross-functional meetings, and share status updates (meeting notes, Confluence).
  • Process contracts, coordinate signatures, and set up product records in internal systems in partnership with royalty/accounting contacts.
  • Set up authors, subject-matter experts, and vendors in the payment portal and coordinate onboarding tasks.
  • Process invoices, follow up with contractors and Accounts Payable, and help ensure timely payment.
  • Track spending against budget line items using spreadsheets and in coordination with the team.
  • Collaborate to create, review, and maintain standard operating procedures (SOPs) and support their adoption.
  • Create and maintain product records: identifiers, pricing, contracts, and availability across sales channels.
  • Maintain tracking spreadsheets and coordinate assessment reviews and updates with outside vendors.
  • Participate in editorial meetings, coordinate group schedules, and follow up on action items.
  • Support research initiatives and annual priorities (surveys, interviews, participant communications, honoraria, notes, and analysis).

What you’ll bring

  • Bachelor’s degree.
  • Understanding of project management basics, tasks, and tools.
  • Strong Excel skills — formulas, functions, and pivot tables preferred.
  • Analytical skills and the ability to make data-informed decisions.
  • Strong organization and time-management; able to manage changing priorities and meet deadlines.
  • Clear, professional written and verbal communication; good judgment on messaging and timing.
  • Attention to detail, integrity, and a commitment to accurate, high-quality work.
  • Ability to work independently, ask questions, take ownership, and respond constructively to feedback.
  • A collaborative, proactive approach to problem-solving and process improvement.
  • Interest in medical education and medical practice publishing is highly preferred.

Work arrangement & compensation

  • Hybrid role based in Philadelphia, PA — onsite two days per week (onsite days are flexible).
  • Candidates must live within 50 miles of the office and be able to meet the hybrid schedule.
