About the Role & Client

Confidential Client is a leading supplier in the aerospace manufacturing sector, providing avionics-grade communications, navigation, and audio/intercom systems for civilian, paramilitary, and military aircraft applications. The Customer Service Representative role supports customer accounts and coordinates activities across Sales, Operations, Engineering, Production, and Supply Chain to move orders from entry through delivery.

This position is on-site and NOT available for remote work. This role must meet Export Control compliance requirements; a “US Person” as defined by 22 C.F.R. § 120.15 is required (US Citizen, lawful permanent resident, refugee, or asylee). All hires must verify identity and eligibility to work in the United States.


What You’ll Do

  • Manage strategic and complex customer accounts, including order and quotation processing.
  • Maintain and administer customer portal accounts, user access, and content.
  • Process quotes, contracts, sales orders, returns, RMAs, and replacement requests.
  • Review customer purchase orders and contract terms for accuracy and compliance.
  • Serve as a primary escalation point for customer delivery issues, discrepancies, and complaints.
  • Monitor order status and proactively communicate updates, delays, or changes to customers and internal teams.
  • Coordinate shipment schedules and support fulfillment to meet customer requirements.
  • Respond to customer inquiries on product availability, pricing, shipping, and returns.
  • Investigate and resolve moderately complex customer issues; escalate higher-level issues as needed.
  • Issue and manage return material authorizations (RMAs) and coordinate credits or replacements.
  • Maintain accurate CRM and ERP records; generate reports on order activity, backlog, and open issues.
  • Lead cross-functional coordination with Engineering, Production Control, Supply Chain, Shipping, Quality, and Finance to resolve customer-impacting problems.
  • Support root-cause investigations and corrective actions tied to customer complaints.
  • Recommend and help implement process improvements to improve customer service workflows and AS9100 compliance.
  • Develop or update SOPs and training materials; mentor junior Customer Service Representatives.
  • Support onboarding and ongoing training within the customer service function.
  • Participate in customer meetings and act as a customer advocate while balancing operational requirements.

Compensation (estimate)

  • Estimated annual pay: $55,918 per year (estimated)

Qualifications

  • High school diploma or GED required. Associate’s or Bachelor’s degree in Business, Communications, Supply Chain, Aviation, Engineering, or related field preferred.
  • 0–3 years of experience in customer service, order management, administrative support, sales support, project coordination, or related roles.
  • Internship, co-op, military, manufacturing, retail, hospitality, or other customer-facing experience is valued.
  • Proficiency with Microsoft Office required; experience with ERP and CRM systems preferred.
  • Strong written and verbal communication skills and a customer-focused mindset.
  • Excellent organization, time management, and attention to detail.
  • Ability to learn new systems, processes, and technical information quickly.
  • Demonstrated problem-solving and critical-thinking skills.
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment.
  • Regular, reliable onsite attendance is required.

Preferred

  • Experience in aerospace or regulated manufacturing environments.
  • ERP experience (implementation/usage).
  • Familiarity with AS9100 or comparable quality management standards.
  • Experience mentoring or training team members.
  • Experience supporting strategic accounts or government/commercial aerospace customers.

Work Environment & Physical Requirements

  • Office-based role with regular onsite presence required (no remote option).
  • Prolonged periods working at a computer workstation.
