Overview

This is an entry-level Contracts Administrator role supporting federal, state, and commercial programs in a hybrid capacity (two days per week in the Chantilly, VA office). The Contracts Administrator will provide pre-award and post-award contract administration, assist with proposal work, maintain contract files in SharePoint, support subcontracting activities, and help ensure compliance with applicable regulations (including FAR) under the direction of the Contracts Manager or Contracts Team Lead.


Responsibilities

  • Provide pre-award support for Federal, State, and commercial proposal submissions.
  • Draft Non-Disclosure Agreements (NDAs) and Teaming Agreements.
  • Review RFPs/RFQs and identify applicable FAR clauses, Representations & Certifications (Section K), submission requirements, and due dates.
  • Coordinate creation of compliance and proposal deliverables at the direction of the Contracts Manager.
  • Organize and maintain solicitation documents and contract files in SharePoint.
  • Draft and administer subcontractor or partner RFPs/RFQs as assigned.
  • Manage assigned contracts and subcontracts throughout the post-award lifecycle.
  • Support contract kickoffs and closeouts when needed.
  • Review contract modifications and coordinate internal review and signatures under guidance.
  • Prepare Requests for Equitable Adjustments (REAs/REPAs) and request pricing support as needed.
  • Communicate with clients/customers under supervision of the Contracts Manager or Team Lead.
  • Maintain accurate contract records and database entries for awards.
  • Provide cross-functional operational support with Operations, Finance, Procurement, and Senior Management.
  • Provide coverage for colleagues’ portfolios when required and support special projects.
  • Prepare general correspondence, memos, charts, tables, and business plans.
  • Handle confidential information and prioritize large volumes of documents and tasks.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree in Business Administration or related field preferred; relevant experience may be substituted.
  • 0–2 years of experience in project or contract administration; experience with government contractors preferred.
  • Must possess and maintain a valid state driver’s license.
  • Must be eligible to obtain and maintain a DoD Secret clearance.
  • Proficiency with MS Word, Excel, Access, PowerPoint, Outlook, and common office software.
  • Experience using SharePoint or other document management systems preferred.

  • Initiative and ability to work collaboratively across teams.

Work Model & Location

  • Work model: Hybrid — two days per week in the Chantilly, VA office.
  • Location: Chantilly, VA (must be able to commute to the office as required).

Estimated Salary

  • USD $61,000 — USD $80,000 per year (estimated).
