Role Overview

The Commercial Operations Coordinator supports day-to-day financial, commercial, and administrative activities for service operations. This entry-level role helps convert approved scopes into task orders and purchase orders, supports billing readiness and forecast inputs, and prepares management reporting. You will coordinate commercially relevant information across Operations, Finance, Accounting, Subcontracts, Legal, PMO, and project teams under the direction of leadership at the Confidential Client.


Key Responsibilities

  • Support financial operations: maintain budget files, forecast inputs, overhead tracking, purchase order logs, and invoice status reports.
  • Assist commercial administration: prepare task orders, track purchase orders, support schedules of values, and follow approval workflows.
  • Prepare commercial support materials: quote backup, labor and cost inputs, schedules of value, and documentation for proposals, task orders, and change orders.
  • Track billing and invoice readiness: monitor AR import inputs, milestone billing, WIP documentation, and identify delays or missing documentation.
  • Help maintain billing standards, invoicing requirements, templates, and change-order logs in coordination with cross-functional teams.
  • Compile and organize management reporting (QBRs, MBRs, scorecards), KPI/OKR inputs, forecast updates, and budget reviews.
  • Assist with routine financial/operational analysis: organize data, check source information, update trackers, and flag variances or process issues.
  • Coordinate follow-up across Operations, PMO, Finance, Accounting, Legal, Subcontracts, EPC, and project teams to reduce approval delays and billing friction.
  • Support onboarding and administration for new service lines, customers, vendors, and internal processes by collecting inputs, preparing documentation, and maintaining repeatable workflows.

Qualifications

  • Associate degree, bachelor’s degree, certificate, or coursework in business administration, finance, accounting, construction management, project management, or related field preferred; equivalent work experience considered.
  • 0–2 years experience in financial operations, billing, accounting support, construction administration, project coordination, or office administration preferred. Internship or project-based experience is acceptable.
  • Exposure to purchase orders, task orders, change orders, schedules of value, invoices, or management reporting preferred but not required.
  • Familiarity with construction, energy, utility, industrial services, or EPC environments is a plus.
  • Basic proficiency with Microsoft Excel, Outlook, Teams, and other Office tools required; ability and willingness to learn ERP, accounting, project management, document control, and reporting systems.
  • Strong attention to detail, organization, follow-through, and written communication skills.
  • Ability to coordinate across multiple internal stakeholders and approval paths; a proactive, learning-oriented mindset.

Physical Requirements & Work Environment

  • Primarily office-based work using a computer, phone, and standard office equipment.
  • Regular communication with internal teams, vendors, subcontractors, and project stakeholders via meetings, email, and calls.
  • Occasional travel to project work sites, customer locations, or company offices to support coordination and gather documentation.
  • When visiting project sites, must follow site safety requirements and may need PPE (hard hat, safety glasses, high-vis vest, gloves, safety footwear).
