Position Overview

Confidential Client is hiring a part-time Administrative Coordinator to support area teams, donor & development activities, event administration, and general office operations. This role is based in Saint Louis, MO and works up to 24 hours per week.


Responsibilities

  • Support the Area Team model by executing assigned tasks to recruit, select, and equip Area Teams
  • Greet and receive guests; answer and direct phone calls and messages
  • Create, update, and distribute ministry materials and participant resources
  • Order and manage office/product inventory; process printing and marketing requests
  • Gather data, run standard reports, and assist with statistical analysis
  • Train, schedule, and supervise volunteers for administrative support
  • Ensure Salesforce accuracy for volunteer and constituent records
  • Provide event administrative support: registration, name tags, materials, and follow-up

Development & Donor Support

  • Enter donor updates (notes, contact changes, actions) into Salesforce daily
  • Maintain database accuracy and document constituent touchpoints
  • Run reports and generate mailing lists for development activities
  • Follow the New Donor welcome process and coordinate timely mailing of thank-you notes and welcome packets
  • Prepare and send constituent communications (birthday, prayer, sympathy, recurring donor acknowledgements)
  • Coordinate lapsed-donor outreach with volunteers and support email promotions with Marketing
  • Assist with donor cultivation projects and reporting

Accounting & Office Finance

  • Follow Confidential Client accounting policies and maintain proficiency in accounting tools (Certify, MineralTree, Sage Intacct or equivalents)
  • Assist with event payment processing and weekly deposits (immediately if ≥ $1,000)
  • Process office expense payments and support financial recordkeeping

Additional Duties

  • Periodically travel locally for ministry business (post office, bank, storage)
  • Work occasional evenings or weekends for events or workshops
  • Travel overnight as needed for retreats or conferences
  • Perform other duties and projects as assigned to support departmental and organizational needs

Qualifications

  • Vibrant personal relationship with Jesus Christ and agreement with the organization’s statement of faith (this role supports a religious ministry)
  • Desire to serve in a Christian service ministry environment
  • Bachelor’s degree or equivalent experience
  • Salesforce or similar CRM/database experience required
  • Strong organization, time management, and attention to detail
  • Valid driver’s license and ability to travel locally as needed
  • Self-starter, team player, and strong interpersonal skills
  • Previous administrative experience preferred
  • Competent computer skills, including Windows, Microsoft Excel, Word, Outlook, and web-based tools

Physical Requirements

This is primarily sedentary office work: extended sitting, computer use, occasional standing/walking/bending, and occasional lifting up to 20 lbs. Reasonable accommodations will be made where appropriate.


Compensation & Schedule

  • Part-time: up to 24 hours per week
  • Pay: $21.00–$23.00 per hour (hourly range provided)
