Overview

Confidential Client is hiring an Administrative Coordinator to provide day-to-day administrative and coordination support for an engineering-focused team based in Itasca, IL. This full-time, office-based role supports professionals working on large industrial and water engineering projects. The ideal candidate is organized, proactive, and enjoys helping a busy team run smoothly.


Key Responsibilities

  • Provide day-to-day administrative support including calendar management, meeting coordination, travel arrangements, and general office tasks.
  • Prepare and format documents, presentations, and reports using Word, PowerPoint, Excel, and SharePoint.
  • Assist with expense reports, invoicing, and purchasing card transactions (Concur experience a plus).
  • Track basic budgets and prepare summaries or reports for internal stakeholders.
  • Support internal and external communications: drafting, editing, and organizing content as needed.
  • Coordinate team events, meetings, and cross-functional activities.
  • Serve as a professional point of contact for visitors, phone inquiries, and internal requests.
  • Manage routine office operations: supplies, printing, mail distribution, and other administrative logistics.

Qualifications

  • 0–5 years of administrative, office, or coordination experience; entry-level applicants with strong skills encouraged to apply.
  • Associate degree or bachelor’s degree preferred but not required with relevant experience.
  • Strong written and verbal communication skills.
  • Comfortable multitasking and prioritizing in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Experience with Concur or similar expense systems is a plus.
  • Strong attention to detail, organization, and follow-through.
  • Ability to work professionally with staff at all levels, including senior leadership.
  • Demonstrated discretion handling sensitive and confidential information.
  • Positive, team-oriented attitude and willingness to jump in where needed.

  • Follow safety guidelines and company policies.
  • Willingness to work standard office hours and occasional overtime or weekend work as needed.

Location & Schedule
