About the Role

Confidential Client is seeking an Administrative Coordinator to support a busy Engineering team based in Itasca, IL. This full-time, office-based role provides administrative, coordination, and communication support across industrial and water engineering projects. The role is ideal for organized, proactive candidates who enjoy variety and working with cross-functional teams.


What You’ll Do

  • Provide day-to-day administrative support: meeting coordination, travel assistance, and calendar management
  • Prepare and format documents, presentations, and reports using Word, PowerPoint, Excel, and SharePoint
  • Assist with expense reports, invoicing, and purchasing card reconciliations using Concur (or similar tools)
  • Track basic project budgets and prepare simple reports and summaries for internal use
  • Support internal and external communications through writing, editing, and organizing content as needed
  • Coordinate team events, meetings, and cross-functional collaboration activities
  • Serve as a professional point of contact for visitors, phone calls, and internal inquiries
  • Maintain general office operations: supplies, printing, mail distribution, and other administrative tasks

Qualifications

  • 0–5 years of administrative, office, or coordination experience (entry-level candidates with strong skills and motivation encouraged)
  • Associate or bachelor’s degree preferred but not required with relevant experience
  • Proficiency in Microsoft Office: Word, Excel, PowerPoint, Outlook, and SharePoint
  • Experience with Concur or other expense systems is a plus
  • Strong written and verbal communication skills
  • Excellent organization, attention to detail, and follow-through
  • Comfortable multitasking and prioritizing in a fast-paced environment
  • Ability to interact professionally with individuals at all levels, including senior leadership
  • Demonstrated ability to handle sensitive and confidential information with discretion
  • Positive, team-oriented mindset and willingness to assist where needed

Location, Compensation & Benefits

  • Office-based role in Itasca, IL (on-site)
  • Estimated salary: $51,616 per year (estimated)
  • Full-time employees are eligible for a comprehensive benefits package including medical, dental, vision, retirement plan options, paid time off, and other voluntary programs (benefits vary by employer and location)
  • This position may require occasional overtime and/or work during non-standard hours to meet project needs
