What You’ll Do

Confidential Client is seeking an organized, detail-focused Administrative Assistant / Technical Report Editor to support engineering teams in Tampa, FL. This hybrid administrative/editor role provides front-office coverage while assembling, formatting, and polishing technical reports and deliverables for client review.

  • Greet visitors, answer and route incoming calls, and manage front-desk inquiries professionally.
  • Assemble and format technical reports using input from field and lab staff.
  • Create and edit documents in Microsoft Word to ensure consistent formatting, style, and client-ready presentation.
  • Design and update tables, charts, and graphs in Microsoft Excel; integrate visuals into Word documents.
  • Proofread reports for grammar, spelling, units, and data consistency; ensure clarity and technical accuracy.
  • Maintain calendars and scheduling for designated team members.
  • Conduct targeted research for projects and business development support.
  • Maintain organized digital and physical filing systems and handle general administrative tasks as needed.

Qualifications

  • 1+ years of experience in administrative support, document control, or a related office role.
  • Strong Microsoft Office skills: Word (templates, styles, long-doc formatting) and Excel (tables, charts; pivot tables a plus).
  • Experience with PowerPoint and Adobe Acrobat (PDF editing, redaction, combining files).
  • Excellent written and verbal communication skills; strong proofreading ability.
  • High attention to detail with the ability to spot errors in text and figures.
  • Comfortable working in a fast-paced, deadline-driven professional environment.
  • Bachelor’s degree preferred (English, Communications, or related) or equivalent experience; recent graduates with relevant internships are welcome.
  • Previous experience in architecture, engineering, or construction (AEC) firms is a plus.

Preferred / Nice-to-Have

  • Document control or technical editing experience within engineering consulting.
  • Familiarity with report templates and quality-control checklists.
  • Basic experience with data visualization best practices (Excel/PowerPoint charts).

Compensation & Location

  • Estimated annual pay: $49,391 (per source estimate). Exact compensation offered by Confidential Client may vary based on experience and qualifications.
