What You’ll Do

The Tax Administrative Assistant reports to the Tax Specialist and supports the Tax and Investment departments by maintaining organization for tax processes and managing day-to-day office administrative functions. This role regularly handles confidential tax and financial documents.

  • Manage the compliance delivery process, including internal logs, certified mailings, and assembly of returns
  • Organize and maintain historical and current hard-copy and electronic filing systems
  • Monitor office supplies, place orders, and confirm order accuracy
  • Support daily office functions: date-stamping and distributing mail, coordinating plant maintenance
  • Process invoices and check requests
  • Provide administrative support to the Tax Department and maintain written desk procedures for assigned duties

Qualifications

  • Entry-level position; 1+ year of tax staff, administrative assistant, or equivalent experience preferred
  • Highly organized, detail-oriented, self-motivated, and resourceful with the ability to manage multiple concurrent duties with minimal supervision
  • Strong judgment, flexibility, and ability to work effectively on a team
  • Ability to handle sensitive and confidential information
  • Strong computer skills — Microsoft PowerPoint, Word, Excel, and Adobe Acrobat
  • Familiarity with AI tools (e.g., Microsoft Copilot, Claude) is a plus
  • Interest or experience in tax services is a plus
  • High school diploma or equivalent required; bachelor’s degree preferred
  • Ability to read, analyze, and interpret business documents; write reports and correspondence; and perform basic arithmetic and problem-solving

Compensation & Benefits

  • Hourly pay: $26.50 - $29.70 per hour (based on relevant experience) — Full-time
  • Annual incentive bonus eligibility
  • Paid time off (PTO)

  • 401(k) with dollar-for-dollar match up to 4%

Physical & Environmental Requirements

  • Occasional bending, kneeling, and lifting up to 25 lbs
  • Frequent sitting; occasional standing, walking, and reaching
  • Noise level may be moderate to high at times
