What You’ll Do
Confidential Client’s Foundation & Community team is seeking an organized Administrative Assistant to provide day-to-day administrative and event support. You’ll be the hub for calendar and meeting logistics, travel coordination, and office operations that keep team programs and philanthropic work running smoothly.
- Support Foundation and Community teams with administrative coordination
- Manage team calendars and schedule internal/external meetings across teams and stakeholders
- Prepare meeting logistics: conference room setup, AV/call details, catering, materials, and post-meeting follow-up
- Assist with planning and executing events that support inclusion, employee engagement, and foundation programming
- Coordinate work-related travel and accurately process expense reports
- Provide phone coverage, support conference calls, and handle professional communications
- Partner with Facilities to address office and building needs; escalate issues appropriately
- Manage office inventory, order supplies, monitor subscriptions, and support basic technology requests
- Maintain organized records through data entry, tracking, and file management
- Provide vacation coverage, support executives as needed, and contribute to special projects
What’s Required
- Minimum 2 years of administrative experience (nonprofit or executive support experience a plus)
- Bachelor’s or Associate’s degree from an accredited institution
- Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word)
- Strong ability to self-manage, prioritize across teams, and meet multiple deadlines
- Proven problem-solving skills and follow-through on process and procedural issues
- Excellent verbal and written communication with strong attention to detail and professionalism
- Discretion handling confidential matters and experience supporting senior leaders
- Willingness to support events outside regular office hours and occasionally travel to New York City
Compensation & Benefits
- Annual base salary range: $75,000–$85,000 (USD)
