What You’ll Do

Confidential Client is seeking an Accounts Payable Specialist to support AP operations and ensure timely, accurate payment processing and vendor record-keeping. This role contributes to month-end close, compliance, and the broader accounting team.

  • Maintain and update vendor records (name, address, contact info, ACH, W‑9s)
  • Review, code, and enter invoices into the accounting system; verify clerical accuracy
  • Match invoices to purchase orders and receiving records; research discrepancies
  • Obtain approvals through automated workflows and prepare Open Payable reports prior to check runs
  • Process payments: prepare and issue checks and ACHs; select invoices to capture discounts/credit terms
  • Oversee company credit card administration (user setup, limit requests, review charges)
  • Prepare and electronically file 1099s at year‑end; handle board per diems and purchased power invoices as assigned
  • Ensure compliance with board purchasing policies and confidentiality standards
  • Perform other accounting duties as needed to support the department

Qualifications

  • Associate’s or Bachelor’s degree in accounting or related field — or equivalent combination of education and experience
  • Minimum ~1 year of related accounting or accounts payable experience (entry-to-mid level considered)
  • Strong comfort with data entry and attention to clerical accuracy
  • Experience assigning GL account numbers and departmental/project coding
  • Familiarity with vendor 1099 rules, ACH, and credit card reconciliation
  • Able to meet deadlines, occasionally work overtime, and travel as needed

  • Knowledge of basic accounting principles and AP procedures
  • Proficient with spreadsheets and standard office software
  • Effective organizational, planning, and interpersonal skills
  • Strong numerical aptitude and problem‑solving mindset
  • Ability to maintain strict confidentiality and exercise sound judgment
