Position summary (brief)
Confidential Client is hiring a part-time Accounting Assistant in Lake Magdalene, FL. This entry-level role provides hands-on experience processing vendor invoices, supporting accounts payable and receivable, performing reconciliations, and maintaining accurate financial records. What You’ll Do (Essential Duties & Responsibilities)
- Process and enter vendor invoices into the accounting system
- Review invoices and supporting documentation for completeness and accuracy
- Match invoices to purchase orders, approvals, receipts, or other supporting documents
- Maintain accurate vendor records and AP documentation
- Prepare and support vendor payment processing and payment records
- Support customer invoicing, post payments, and maintain AR records
- Monitor outstanding customer balances and assist with collections follow-up
- Research basic invoice, payment, and account discrepancies and escalate as needed
- Assist with bank, credit card, vendor, and customer reconciliations
- Maintain organized electronic and physical accounting records
- Enter financial transactions and accounting data accurately and in a timely manner
- Support employee expense documentation and expense-report processing
- Prepare routine accounting reports and schedules for weekly/monthly review
- Support month-end and year-end close activities as assigned
- Assist in gathering documentation for audits and financial reviews
- Maintain confidentiality of company, employee, customer, and financial information
- Support the Finance team on special projects and process improvements
Who We’re Looking For (Minimum Qualifications)
- Authorized to work in the U.S.
- High school diploma or equivalent
- 0–1 year of experience in accounting, bookkeeping, finance, banking, payment processing, or similar transactional roles
- Basic understanding of accounting or financial principles
- Experience handling financial transactions, reconciliation, cash handling, or detailed recordkeeping
- Basic proficiency with Microsoft Excel, Word, and Outlook
- Strong numerical accuracy, attention to detail, and data-entry accuracy
- Good organizational and time-management skills; able to manage multiple priorities and meet deadlines
- Professional verbal and written communication with internal and external stakeholders
- Ability to handle confidential and sensitive financial information appropriately
- Willingness to learn accounting software, internal controls, and established processes
Preferred Qualifications
- Currently pursuing or recently completed an associate or bachelor’s degree in Accounting, Finance, Business Administration, or a related field
- Prior internship, part-time, or entry-level experience in an accounting/finance department
- Exposure to Accounts Payable and/or Accounts Receivable processes
- Experience with invoice or payment processing and account reconciliations
- Familiarity with QuickBooks, Sage, NetSuite, Unanet, Costpoint, or similar accounting/ERP systems
- Intermediate Excel skills (formulas, sorting/filtering, PivotTables, lookup functions)
- Interest in developing a long-term career in accounting or corporate finance
Work schedule, travel & environment
- Employment type: Contract / Part-time
- Typical schedule: Monday–Friday, 8:00 AM – 5:00 PM (part-time hours)
- Travel: Up to 10%
- Physical demands: Regularly required to talk/hear; frequent use of hands/fingers; occasional standing, walking, sitting, reaching; may lift/move up to 25 lbs. Reasonable accommodations available as needed.
Compensation
- Pay: $15.00 per hour (hourly rate shown in good faith; final compensation will be based on skills, experience, and market factors)
